Connect your Microsoft 365 calendar with Atera to quickly schedule meetings (and dispatch technicians), set reminders, and view calendar events right in tickets!
How Atera's Calendar Integration Works
- We're using Outlook's existing interface to schedule calendar events.
- Connecting your account and calendar enables viewing of scheduled events from within your tickets.
- When creating a new calendar event you will be able to see it in your Outlook calendar and in the Atera ticket associated with the event.
- Updating or deleting the calendar event within the calendar will reflect in the associated ticket.
- When creating calendar events, make sure that the selected calendar is the same calendar connected to Atera—otherwise, calendar events will not appear on the associated ticket.
Notes:
- Connecting a calendar requires admin permissions.
- You can connect one calendar per account.
- If you're working in a team, we recommend connecting a shared calendar. This way, other technicians will be able to see upcoming calendar events, as well as create events that are viewable by everyone else. Please note that if you create a calendar event before sharing the calendar with other technicians, they will not see the event within the associated ticket.
- You can create an event regardless of the integration. The added value of the integration is to see the event in the ticket.
Connect to Microsoft 365
Connect your Microsoft 365 Outlook Calendar to schedule, view, and manage calendar events right from your tickets.
Note: Connecting a calendar requires admin permissions.
1. From Admin, on the side panel, click Calendar Integration.
The Calendar Integration page appears.
2. Click Connect in the Microsoft 365 tile. Microsoft Outlook opens.
3. Choose your Outlook account. Then sign in. You're returned to the Calendar Integration page.
4. Click the Select calendar dropdown.
5. Select the calendar you'd like Atera to connect to (read events from).
Note: If you're working in a team, we recommend connecting a shared calendar. This way, other technicians will be able to see upcoming calendar events, as well as create events that are viewable by everyone else.
6. Click Connect. Your Microsoft 365 calendar is connected.
Calendar events scheduled on this calendar will appear within the associated ticket.
Calendar Events
See your upcoming calendar events in the associated ticket, under Calendar Events. Any changes made to an upcoming calendar event (within the calendar) will reflect on the ticket. While anyone can view and schedule upcoming calendar events on a ticket, only an admin can manage a connected calendar
Notes:
- Each ticket displays up to 2 upcoming calendar events.
- Events are recognized by ticket name convention (e.g., [Atera #1123]). Modifying the ticket name convention will prevent the calendar event from appearing in the ticket.
To create a calendar event from within a ticket:
1. From the ticket, click the New calendar event dropdown, on the right-hand panel.
Note: If you haven't yet connected your calendar with Atera, now would be a good time.
2. Select Microsoft 365 (Outlook).
3. Sign in to your Microsoft 365 Outlook account.
The Outlook Calendar window appears.
4. Click the Calendar dropdown and select your calendar.
Note: To see the calendar event on the ticket, make sure the calendar selected is the same calendar connected to Atera.
5. Fill out the calendar event.
6. Click Save.
Awesome. Calendar event was created. You can see the scheduled meeting under Calendar Events on the Ticket page.
Manage a Connected Calendar
You can access the Calendar Integration page from the Admin page or by clicking the New calendar event dropdown in the associated ticket and clicking Manage Calendar (visible to admins only). The Calendar Integration page shows the connected account and calendar. If you have not yet connected to an account, connect to one now. To connect to another account, disconnect and reconnect with your preferred calendar.
Note: Managing a calendar requires admin permissions.
To disconnect from Microsoft 365 Outlook account:
1. From Admin, on the side panel, click Calendar Integration.
The Calendar Integration page appears.
2. Click Disconnect from Microsoft 365 Outlook. A confirmation window appears.
3. Click Disconnect.
You are disconnected from your Microsoft 365 Outlook account and the Outlook calendar is no longer connected to Atera.
Troubleshooting
If you aren't seeing the scheduled calendar event in your ticket, please check that:
- You've connected your Microsoft 365 account and calendar to Atera.
- The connected calendar has been selected in Outlook when creating the calendar event.
- The calendar event appears on the calendar you connected to Atera.
- The Outlook title includes the ticket name convention in the beginning of its title (e.g., [Atera #777]).
If all these conditions are met and you're still not seeing the calendar event in your ticket, try disconnecting and reconnecting your calendar. If this doesn't solve the issue, please contact support
