Connect your Google or Microsoft 365 Calendar with Atera to quickly schedule meetings (and dispatch technicians), set reminders, and view calendar events right in tickets!
Note:
- Connecting a calendar requires admin permissions.
- You can connect one calendar per account.
- If you're working in a team, we recommend connecting a shared calendar. This way, other technicians will be able to see upcoming calendar events, as well as create events that are viewable by everyone else. If you create a calendar event before sharing the calendar with other technicians, they will not see the event within the associated ticket.
- You can create an event regardless of the integration. The added value of the integration is to see the event in the ticket.
Google calendar integration
Connecting your account and calendar enables viewing of ticket-related scheduled events from within your tickets. You can create a calendar event from the ticket and see it in your Google Calendar, even without connecting your calendar. The added value of connecting your calendar is that you'll be able to also see the scheduled event in the ticket. Once you've connected your calendar, updating or deleting calendar events within the calendar will reflect in the associated tickets.
Connect your Google calendar
Connect your Google Calendar to schedule, view, and manage calendar events right from your tickets.
1. From Admin (on the side panel), go to Support and ticketing > Calendar integration.
2. Click Sign in with Google and log in with your Google credentials.
3. Check all the calendar permissions boxes to allow Atera access to your calendars, then click Continue.
Note: Failure to check the permissions boxes will prevent the integration.
4. From the dropdown menu, select the specific calendar you'd like to connect to (and integrate with Atera).
Note:
- If you're working in a team, we recommend connecting a shared calendar. This way, other technicians will be able to see upcoming calendar events, as well as create events that are viewable by everyone else.
- Please don't select the Google Birthdays or Holidays calendar. These preset calendars will not work in this integration.
6. Click Connect.
Your Google Calendar is now connected.
Microsoft 365 calendar integration
Integrating your Outlook account with Atera enables you to seamlessly schedule and view calendar events directly within your tickets. Once your Outlook calendar is connected. any event you create will be visible both in your Outlook calendar and the corresponding Atera ticket. Updates or deletions made to these calendar events appear on the related ticket, so it is crucial to make sure to select the same calendar in Outlook that is connected to Atera when creating these events.
Connect your Microsoft 365 calendar
Connect your Microsoft 365 Outlook Calendar to schedule, view, and manage calendar events right from your tickets.
1. From Admin (on the side panel), go to Support and ticketing > Calendar integration.
2. Click Connect in the Microsoft 365 tile to open Microsoft Outlook.
3. Choose your Outlook account and then sign in. You're returned to the Calendar integration page.
4. Click the Select calendar dropdown.
5. Select the calendar you'd like Atera to connect to (read events from).
Note: If you're working in a team, we recommend connecting a shared calendar. This way, other technicians will be able to see upcoming calendar events, as well as create events that are viewable by everyone else.
6. Click Connect. Your Microsoft 365 calendar is connected.
Calendar events scheduled on this calendar will appear within the associated ticket.
Create a calendar event from a ticket
You can create and view calendar events in associated tickets. Any changes made to an upcoming calendar event (within the calendar) will reflect on the ticket. While anyone can view and schedule upcoming calendar events on a ticket, only admins can manage a connected calendar.
Note:
- When creating a calendar event, the calendar that appears is the one selected when initially connecting Google to Atera. Do not switch to a different calendar, or the event won’t be reflected in the ticket.
- Events are recognized by the ticket title name convention (e.g., [Atera #1123]). Modifying the ticket name convention will prevent the calendar event from appearing in the ticket.
- Each ticket displays up to 2 upcoming calendar events.
- When creating calendar events, make sure that the selected calendar is the same calendar connected to Atera—otherwise, calendar events will not appear in the associated ticket.
- Each ticket can display up to 2 upcoming calendar events.
To create a Google calendar event from a ticket:
1. From the Tickets page, select a ticket and on the right-hand panel, scroll to the Calendar section.
2. Log in to your Google account when prompted.
The Google Calendar event appears.
3. Adjust the date, time, and any other fields you wish, then click Save.
The scheduled event now appears in your Google Calendar. If you've connected your calendar to Atera, then you will also see your scheduled event within the ticket as well.
To create a Microsoft 360 calendar event from a ticket:
1. Select a ticket from the Tickets page, and on the right-hand panel, scroll to the Calendar section.
2. Click New calendar event and select Office 360.
3. Fill out the calendar event and click the Calendar dropdown and select your calendar.
Note: To see the calendar event on the ticket, make sure the calendar selected is the same calendar connected to Atera.
4. Fill out the calendar event and then click Save.
The calendar event was created and can be viewed under Calendar Events on the Ticket page.
Disconnect your calendar
The Calendar integration shows the connected account and calendar. Only one calendar can be connected, so to connect another account, you can disconnect and reconnect with your preferred calendar.
To disconnect your calendar:
1. From Admin, on the side panel, go to Support and ticketing > Calendar integration.
The Calendar Integration page appears.
2. Click Disconnect from Microsoft 365 Outlook or Disconnect from Google Calendar, then click Yes in the confirmation window.
Atera is no longer connected to, or associated with, the calendar.
Troubleshoot
- If you have trouble connecting to Google Calendar from Atera, please check that you've logged out of any other Gmail accounts that may be saved in your browser (alternatively, you can open an incognito window, log in to Atera, and set up the Google integration that way).
- If you aren't seeing the scheduled calendar event in your ticket, please check that:
- You've connected your Google/Outlook account and calendar to Atera.
- The connected calendar has been selected in Google/Outlook when creating the calendar event.
- The calendar event appears on the calendar you connected to Atera.
- The Google/Outlook title includes the ticket name convention in the beginning of its title (e.g., [Atera #777]).
If all these conditions are met and you're still not seeing the calendar event in your ticket, try disconnecting, then reconnecting your calendar. If this doesn't solve the issue, please contact support
