Create asset types and add your assets to manage your unmonitored devices with Atera's Custom Assets.

This section describes the following:
Asset types
Asset types categorize your assets, making it easier to manage them. You first must create an asset type to add your assets. For example, you'll create an asset type "Monitors" before adding the assets themselves (e.g., Dave's monitor) to this asset type.
Note:
- Only Admin users can create asset types.
- Growth users can create up to 5 asset types. Power users can create up to 20 asset types.
Asset fields
Asset fields save additional information about an asset, making it easier to manage and track them. Each asset type contains default fields, which cannot be edited or removed:
- Asset name: The name of the asset. This field is required for all assets.
- Description: A description of the asset.
- Customer: The customer to whom the asset belongs. This field is required for all assets.
- Folder: The folder in which the asset is placed.
- Contact: The contact to whom the asset belongs.
You can also add and manage your own custom fields to help you make more informed decisions about your assets. For example, adding the custom field 'Purchase date' could help you make better decisions about when to replace or upgrade assets.
Note:
- Custom asset fields can be used across all your asset types.
- Editing a custom asset field will affect all assets that include that field. For example, changing the custom asset field title will reflect across all assets that include this field.
- You cannot edit an asset's custom field type (e.g., Date) once the asset type has been created.
- You can edit a custom field only from within the host asset type (the asset type in which the custom field was created).
- Deleting an asset field will remove it from the associated assets within the asset type you delete it from only. All other asset types that include this field will be unaffected (i.e., the field won't be deleted from its assets). However, if the asset field exists in one asset type only, deleting it will delete the field from the system.
Create asset type
Asset types categorize your assets, making tracking, managing, and auditing your customers' assets easier. Once an asset type is created (e.g., "Monitors"), you can add assets to it (e.g., "Dave's monitor").
To create an asset type:
1. From Admin, click Custom Assets.
The Custom Assets page appears.
2. Click New asset type.
3. Give the asset type a name.
Each asset type contains default fields, which cannot be edited or removed. We recommend adding your own asset fields to include more details about your assets.
Note: To create the asset type without adding your own custom fields, skip to step 9.
4. To add custom asset fields, click Add field.
The Add asset field window appears.
5. Add your asset field title (e.g., "Purchase Date").
6. Select the asset field type from the dropdown menu:
Note: Asset field types marked with a star (*) require default values.
- Text*: Select this asset field type to add a text field.
- Multi-line text: Select this asset field type to add a text field. Tap the Enter key to skip lines.
- Number*: Select this asset field type to add a number.
- Date: Select this asset field type to add a date (format is DD/MM/YYYY).
- Checkbox: Select this asset field type to add a checkbox.
- Dropdown*: Select this asset field type to add a dropdown list. Click the plus symbol to add the required values.
- Link: Select this asset field type to add links.
- Password: Select this asset field type to add passwords.
7. Check the Required box to set this as a required asset field.
8. Click Add. Asset type field added!
Note: To continue adding asset fields, click Add > Add and create more.
The new asset field appears on the Asset Type page, where it can be edited, cloned, or deleted.
9. Click Create (on the top right of the page).
Your new asset type appears on the Custom Assets page.
Manage your asset types
Asset types can be edited, reordered, cloned, and deleted.
To edit an asset type:
1. From Admin, click Custom Assets.
The Custom Assets page appears.
2. Click the Actions dropdown menu on the asset type you want to edit. Then select Edit.
The asset type opens. You can add more asset fields by clicking Add field in the top right of the Asset Type Fields window. You can also edit, reorder, or delete any of the asset fields that were previously added.
To clone an asset type:
1. From Admin, click Custom Assets.
The Custom Assets page appears.
2. Click the Actions dropdown menu on the asset type you want to edit. Then select Clone.
Nice! The asset type is duplicated and appears as "[Asset_Name] - copy" on the Custom Assets page.
To delete an asset type:
1. From Admin, click Custom Assets.
The Custom Assets page appears.
2. Click the Actions dropdown menu on the asset type you want to edit. Then select Delete.
Poof! The asset type is deleted.
Add assets
Once you've created asset types, it's time to start adding assets!
To add assets:
1. From Customers, select your customer. The Customer page appears.
2. From the Assets tab, click the plus symbol (+).
The Create Asset page appears.
3. Select the asset type.
Note:
- The asset type cannot be changed once created.
- If you don't have an asset type, or you want to create a new asset type, click + Create new and follow these steps
4. Fill out the default asset fields:
- Asset name: The name of the asset. This field is required for all added assets.
- Description: A description of the asset.
- Customer: The customer to whom the asset belongs. This field is required for all added assets.
- Folder: The folder in which the asset is placed. This field is disabled until the customer is selected.
- Contact: The contact to whom the asset belongs. This field is disabled until the customer is selected.
5. Fill out any custom fields you may have.
6. Click Create.
The asset is added and appears within the Assets tab.
Manage assets
Manage your individual assets from the Assets tab on the Customer page and manage your asset fields from the Custom Assets page.
1. From the Customer page, click the Asset tab.
2. Click the asset name to open it. The asset page appears.
The Assets page is divided into two sections:
- Overview: Default asset fields (Asset type, Description, Customer, Folder, and Contact).
- Details: Custom asset fields.
3. Click the chevron icon () to expand and view Details.
4. Click the name of the asset (top of the page) to edit it.
5. When you're done editing, click Save.
To edit a shared asset field for all asset types:
1. From Admin, click Custom Assets.
The Custom Assets page appears.
2. Click on an asset type to open it.
3. Click the edit icon () on the asset field you want to edit.
The Edit Asset Field window appears.
4. You can edit the field title, default values (if applicable), and whether or not the field is required.
Note: Editing a field that has already been created will affect all assets that include that field.
5. Click Save when you're done making your edits.
6. Click Save (on the top right of the screen).
Awesome! Asset type field updated.
To reorder asset fields:
1. Hover over an asset field, then click and drag it to the position you want.
2. Click Save (on the top right of the screen).
To delete asset fields:
1. Click the delete icon () on the asset field you want to delete.
2. Click Save (on the top right of the screen).
The asset field is removed from the asset type.
Note: Other asset types containing this field are unaffected.
